Clothing and Branded Gear

Purpose
This policy outlines the guidelines for the provision, usage, and return of Office of Academic Engagement (OAE) clothing and branded gear by employees. Branded gear refers to bags and accessories with OAE-identifiable branding. This policy extends to units and programs within OAE and ensures the appropriate use of university resources and maintains consistency in the department’s branding and professional image. By adhering to this policy, employees contribute to the professionalism, consistency, and brand identity of OAE and Washington State University.
Provision of Clothing and Gear
- OAE clothing and gear will be provided to employees when appropriate based on job roles and specific operational requirements.
- All provided clothing and gear remain the property of the university and are to be used primarily for work-related purposes.
- As OAE is a part of the Washington State University (WSU) campus community and employees may be engaged in non-work-related activities before or after work shifts while wearing department clothing or using department gear, limited non-work-related usage is acceptable. While wearing departmental clothing or using departmental gear, employees must recognize their role as a representative of the department and university, being mindful of how their actions may be perceived as a university employee.
- Employees should not utilize department clothing and gear while attending political events, where their judgment may be impaired, or where they are engaged in illegal or morally questionable activities.
Responsibility of Employees
- Employees are responsible for the proper care and maintenance of department clothing and gear.
- Clothing and gear should be kept clean, presentable, and in good condition.
- Alterations or modifications to department clothing and gear are prohibited without prior approval.
Returning Department Clothing and Gear
- Upon resignation, termination, or completion of employment, employees are required to return all department clothing and gear in a timely manner.
- Employees must ensure that all items are clean and in the same condition as they were provided.
- Failure to return department clothing and gear may result in the value of the items being billed to the employee.
Loss, Damage, or Theft
- Employees are expected to report any loss, damage, or theft of department clothing and gear to their immediate supervisor as soon as it occurs.
- In cases of loss, damage, or theft due to negligence or intentional actions, employees may be held financially responsible for the replacement cost.
Disposal of Department Clothing and Gear
- OAE clothing and gear that are no longer fit for use will be disposed of by the department following appropriate procedures.
- Employees are prohibited from keeping or repurposing department clothing and gear without prior authorization.
Compliance and Enforcement
Non-compliance with this policy may result in disciplinary action.
